QuickBooks vs Xero: Which Is Right for Your Business?

QuickBooks bundles its own payroll into one subscription. Xero includes unlimited users and a top plan at $97 from October 1 against Advanced at $340.

A US business that runs payroll in-house and whose accountant already works in QuickBooks Online is usually better off staying there: Intuit sells the ledger and the payroll as one subscription, and nobody has to relearn anything. Xero wins on headcount and on the ceiling, because every plan includes unlimited users and the most expensive one lists at $90 a month, rising to $97 on October 1, 2026, against QuickBooks Advanced at $340. The QuickBooks vs Xero decision is rarely about a feature only one of them has. It is about how many people need to log in, whether you want payroll on the same bill, and how far up each ladder you expect to climb.

The short version: pick QuickBooks Online if your accountant works in it and you want payroll from one vendor. Pick Xero if several people need access, or if your invoice volume clears the Early plan’s caps but your budget will not stretch to QuickBooks Plus.

Both vendors were running introductory offers as this was written: Intuit advertises 50% off for three months, Xero 90% off for six months for new US customers buying by September 30, 2026. Those are promotions, not prices. Budget on the list columns. Xero’s own page says its US prices rise on October 1, 2026, for new and existing subscribers, and that its multi-organization discount begins to be phased out from the same date, so the Xero arithmetic below uses the October prices.

Intuit raised prices on August 1, 2026. Its announcement confirms the increase hit Essentials, Plus and Advanced and left Free, Lite, Ledger and Simple Start alone, without printing figures. The secondary sources that carry them agree on the new prices of $85, $140 and $340 and disagree on the old ones. Either way, Advanced has roughly doubled in eighteen months, which matters if you expect to keep the system for years.

On trials, Intuit publishes 30 days. Xero states no length on its US pricing page, homepage or offer terms, which say only that “when you first sign up, you can opt for a free period, based on the terms specified at the time.”

What forces an upgrade

On Xero, two caps do most of the work. Early allows 20 invoices and 5 bills a month, and five bills is rent, a phone bill, a software subscription and two suppliers, so most businesses sit on Growing, $59 from October 1, from month one. After that the trigger is a feature: multi-currency, project time tracking and employee expense claims all live on Established, $97 from October 1.

On QuickBooks, seats drive it first: a third person moves you from Simple Start to Essentials, $38 to $85. Inventory or project profitability moves you to Plus, $140. Multi-currency runs on Essentials, Plus and Advanced but not Simple Start, and once switched on it cannot be switched off.

Real cost for a small team

Take a five-person service business: three people in the books, two W-2 employees, more than 20 invoices a month, no inventory, no foreign currency.

  • QuickBooks: Intuit sells payroll bundled with the ledger. Workforce Payroll with Essentials is $125 a month plus $6.50 per employee, so two employees makes $138 a month.
  • Xero: Growing at $59, its price from October 1, lifts the caps and covers all three users. Payroll adds $36 plus $6 a head, or $48. Total $107 a month.

At Xero’s October prices that is $31 a month, $372 a year, in Xero’s favor. The arithmetic also shows where the gap is not: Essentials alone is $85, so Intuit’s bundle prices payroll at about $40 plus $6.50 per employee against Xero’s $36 plus $6. The difference is in the ledger.

Add project tracking and it widens. Xero moves to Established, $97 from October 1 plus the same $48, or $145 a month. QuickBooks needs Plus for project profitability, and the only bundle on Intuit’s payroll page that includes Plus is Workforce Premium with Plus at $203 plus $10 per employee, or $223 a month. That is $78 a month, $936 a year. QuickBooks is competitive at the bottom of the range, and the further up you go the more Xero saves.

Where QuickBooks Online is stronger

  • Payroll from one vendor. Intuit writes its own payroll and sells it bundled with the ledger, so there is one bill and one support line. Xero’s US payroll is Gusto, white-labeled behind a single login, which works but puts a second company inside the product.
  • Inventory and job costing without an add-on. Plus includes both at $140. On Xero, projects arrive at $97 from October 1 but full inventory is a separate Inventory Plus subscription at $39 a month on top.
  • Accountant seats that do not consume user slots. Paid plans include two, three on Advanced. The free Solopreneur tier includes none, so a business on the $0 plan cannot invite its accountant without upgrading.
  • A genuine entry tier. Solopreneur is $0 with metered limits and $20 for unlimited invoicing and receipts. Xero’s cheapest plan is $25, $27 from October 1, with caps.
  • Familiarity. Intuit runs a ProAdvisor directory and Xero an equivalent advisor directory, and neither publishes a count. The honest test is local: ask the firm you already use which system it works in daily, and what it would charge to work in the other.

Where Xero is stronger

  • Unlimited users at no extra cost. Xero states that every plan includes unlimited users at no extra cost, where QuickBooks includes one, three, five or 25. For a business with an owner, a bookkeeper, an office manager and a part-time controller, that difference can settle the comparison.
  • A low ceiling. Established, at $97 from October 1, is the most Xero charges for the core product. QuickBooks Advanced is $340.
  • Projects and multi-currency together. Both land at $97 from October 1. On QuickBooks, multi-currency starts at Essentials ($85) but project profitability waits for Plus ($140).
  • Document capture from the entry plan. Hubdoc is included from Early upward, with automated bill entry at Growing.

Xero’s limitations are real too. Expense claims, project tracking and multi-currency are all locked to the top tier, and reviewers describe its accounts-payable tools as weaker than dedicated AP software.

Which one should you choose?

Choose QuickBooks Online if:

  • Your accountant works in QuickBooks and would charge to learn something else.
  • You want ledger, payroll and support from one company on one invoice.
  • You track inventory or job costs and would rather pay $140 than $97 plus $39.
  • One or two people need access, so Simple Start or Essentials fits.

Choose Xero if:

  • More than three people need to log in, or the number keeps changing.
  • You send more than 20 invoices a month but need no inventory, putting Growing at $59 from October 1 against Essentials at $85.
  • You want a knowable worst case. $97 is the top from October 1.
  • You need multi-currency and project costing, where $97 for both beats $140 for one.

Neither fits if the budget is zero: Wave has a free plan, at the cost of automatic bank feeds. If most of your work is billable client hours, FreshBooks is built around that and charges per seat. If you have outgrown small-business software, our accounting software hub picks up where these two stop.

Switching between them

QuickBooks to Xero. Xero offers three routes. An automated conversion through Jet Convert moves the chart of accounts, contacts and historical transactions such as bills and invoices, and Xero subsidizes your current and prior fiscal year; more history attracts a fee. A do-it-yourself route uses CSV templates inside Xero for the chart of accounts, invoices, bills, contacts and fixed assets. A fresh start skips history and enters balances from your most recent tax return. Payroll data converts on none of them.

Xero to QuickBooks. Intuit has partnered with Dataswitcher, which converts up to two fiscal years free and more for a fee. The exclusion list is long: budgets, memorized transactions, deleted transactions, draft journals, closed estimates and purchase orders, bank reconciliation history, attachments, invoice templates, terms lists, employee information, payroll data, project details and fixed assets. Intuit puts processing at minutes to several hours inside a project of days to weeks. Classes and inventory need Plus or Advanced at the receiving end; more than 250 accounts or 40 classes needs Advanced.

Timing. Because reconciliation history and payroll do not travel, the cleanest moment is the first day of a fiscal year, once the prior year is closed and payroll filings are done. Mid-year works if you accept that older reconciliations stay behind. Export every report you will want later before you cancel.

Frequently Asked Questions

Is Xero cheaper than QuickBooks?

At list prices in September 2026, and at Xero’s higher prices from October 1, 2026, yes at every comparable point except the entry tier. Early is $27 from October 1 against Simple Start at $38, but Early caps you at 20 invoices and 5 bills a month, so the fair comparison is Growing at $59. At the top, Established is $97 against Advanced at $340.

Does Xero really include unlimited users?

Xero states on its own site that every plan includes unlimited users at no extra cost. That is the clearest structural difference between the two products. QuickBooks includes one, three, five or 25 by plan, plus two or three free accountant seats.

Does QuickBooks Online handle multiple currencies?

Yes, on Essentials, Plus and Advanced. Intuit’s documentation states that multicurrency is not available on Simple Start and cannot be turned off once enabled, because currency conversion has to be accounted for from that point on. On Xero it is Established only.

How much did QuickBooks prices rise in August 2026?

Essentials, Plus and Advanced rose on August 1, 2026 to $85, $140 and $340, while Free, Lite, Ledger and Simple Start were unchanged. Intuit’s announcement confirms the change without publishing figures, and the secondary sources that carry them disagree about the prior prices.
