QuickBooks Online Review: The Ledger Accountants Know, at 2026 Prices
QuickBooks Online runs $38 to $340 a month after the August 2026 rise. What each plan does, where it stops, and who should choose something else.

QuickBooks Online is Intuit’s cloud general ledger, and for a US small business it remains the default choice: it carries inventory, classes, project profitability and payroll bundles in one subscription, and your accountant almost certainly works in it already. This QuickBooks Online review finds it best suited to businesses of one to 25 people that want those capabilities and value an accountant who knows the file. Skip it if price is the main constraint, if more than five people need a login but you do not need Advanced, or if you track serial or lot numbers.
The short version: QuickBooks Online does more than its cheaper rivals and costs more for it, especially since the August 1, 2026 price rise. A business that needs inventory or project profitability needs Plus, at $140.

What QuickBooks Online does
Core bookkeeping, invoicing and bill pay
Every paid plan from Simple Start covers expense categorization, invoicing and online payments, general business reports and bill pay with free ACH, which Intuit caps at a monthly allotment and then charges $0.50 per standard ACH transaction. Intuit markets automated bookkeeping and an AI chat assistant, labeled beta, on the same plan. Essentials adds enhanced reports, employee time on invoices, lead collection from a website form and calendar scheduling for customer meetings.
Multi-currency
Intuit documents Multicurrency on Essentials, Plus and Advanced, not on Simple Start. It is a one-way decision: “Once Multicurrency is on, you can no longer turn it off.” Businesses that might invoice in foreign currency should settle that before turning it on.
Inventory
Inventory management starts at Plus. QuickBooks Online offers two costing methods, first in, first out and moving average cost, and Intuit warns that the choice “can’t be changed later.” If you create an inventory item before choosing, it defaults to first in, first out. Cost moves into cost of goods sold as items sell, which is the part invoicing-first products such as FreshBooks do not do.
What it does not do is serial or lot numbers. Intuit’s article on serial and lot number tracking, with expiration dates, applies to QuickBooks Desktop Enterprise with Advanced Inventory. QuickBooks Online has no built-in equivalent at any tier, so businesses that need it add a third-party inventory app or look at another system.
Projects, classes and budgets
Plus adds project profitability, budgeting and up to 40 classes and locations, which are how QuickBooks tags transactions by department, property or branch. Advanced removes the class and location limit and adds custom KPIs on dashboards.
Advanced: workflows, permissions and revenue recognition
Advanced is the plan for a larger finance function. Intuit lists custom workflows, Excel sync, customizable user permissions, batch invoices and expenses, backup and restore, cash flow forecasting, custom management reports and priority support and training.
Revenue recognition sits here too. Intuit’s help article describes it as a QuickBooks Online Advanced feature, with pre-built or custom templates that set the recognition method, frequency (monthly, quarterly or yearly) and period. Intuit’s article makes no ASC 606 compliance claim. On Simple Start, Essentials and Plus, deferring revenue means manual journal entries or an add-on.
Payroll
Payroll is sold as a bundle with the accounting plan rather than on its own. As of September 2026 Intuit lists Workforce Payroll with Simple Start at $88 a month plus $6.50 per employee, Workforce Payroll with Essentials at $125 plus $6.50, and Workforce Premium with Plus at $203 plus $10 per employee, which adds HR tools, benefits and a time-tracking app. Intuit does not publish a payroll-only price on that page.
Apps, mobile and accountant access
Intuit says QuickBooks Online connects to “over 300 apps.” Every plan includes a mobile app. Paid plans include free accountant seats that sit outside your user count: two on Simple Start, Essentials and Plus, three on Advanced, and none on the Free Solopreneur tier. Phone support is included with a paid subscription, and there is no annual contract.
QuickBooks Online pricing
US list prices for monthly billing, as of September 2026:
| Plan | List price | Users | Accountant seats | What it adds |
|---|---|---|---|---|
| Free (Solopreneur) | $0 | 1 | None | 2 invoices, 2 receipt uploads and 5 mileage trips a month |
| Lite (Solopreneur) | $20 | 1 | Not published | Unlimited invoices, receipts and mileage |
| Simple Start | $38 | 1 | 2 | Expense categorization, invoicing, bill pay, general reports |
| Essentials | $85 | 3 | 2 | Enhanced reports, employee time on invoices, multi-currency |
| Plus | $140 | 5 | 2 | Inventory, project profitability, budgeting, 40 classes and locations |
| Advanced | $340 | 25 | 3 | Unlimited classes, workflows, Excel sync, permissions, revenue recognition |
Intuit raised Essentials, Plus and Advanced on August 1, 2026, leaving Free, Lite and Simple Start unchanged, and recent subscribers keep their price for their first six months. Intuit’s notice does not print the figures. NerdWallet’s price history records Plus rising from $115 to $140 and Advanced from $275 to $340, after an earlier increase in July 2025.
As a promotion in September 2026, Intuit lists 50% off the first three months of Simple Start through Advanced, so Plus shows as $70 a month for that period. The list price is the one to budget on.
Headcount can force an upgrade before features do. Intuit publishes no per-user add-on, so a fourth person moves you from Essentials at $85 to Plus at $140, and a sixth moves you from Plus to Advanced at $340. The other triggers are capabilities: multi-currency at Essentials, inventory and project profitability at Plus, and revenue recognition or more than 40 classes at Advanced.
For a five-person product business with three employees on payroll, the published route is Workforce Premium with Plus: $203 + (3 x $10) = $233 a month, or $2,796 a year, at list prices.
Limitations
Repeated price rises. Intuit raised prices in July 2025 and again on August 1, 2026, and Advanced now lists at $340 a month. NerdWallet names the increases and upselling among the product’s drawbacks.
Users are sold in tiers. One, three, five or 25 users, with no published way to add a single seat. A six-person team pays $340 a month for Advanced whether or not it needs Advanced’s features.
Inventory and projects start at $140. Simple Start and Essentials have neither. A small product seller cannot use QuickBooks Online inventory for less than Plus.
No serial or lot tracking. Intuit documents it for Desktop Enterprise only. Businesses that track individual units or batches need an add-on or a different system.
Revenue recognition only on Advanced. A subscription or contract business on Plus handles deferred revenue by hand.
A 25-user ceiling. Advanced is the top plan. A company that expects to pass 25 users, or that consolidates several entities in spreadsheets, is heading toward a mid-market system.
Desktop is not a way out for most new buyers. Intuit stopped selling new US subscriptions of QuickBooks Desktop Pro Plus, Premier Plus and Mac Plus after September 30, 2024. Existing subscribers may keep renewing, but only Desktop Enterprise, which is Windows-only and priced per year, is sold new. Our QuickBooks Online vs Desktop guide covers what is left.
Who QuickBooks Online is for
QuickBooks Online fits well when:
- Your accountant or bookkeeper works in QuickBooks, and the free accountant seats keep them in the file at no charge.
- You sell physical goods and need cost of goods sold calculated, and one to five people need access.
- You want payroll and the ledger on one bill from one vendor.
- You rely on a third-party app, lender or point-of-sale system whose accounting integration is built for QuickBooks.
Look elsewhere when:
- Price is the main constraint and your books are simple.
- Six to 25 people need access but you do not need Advanced’s features.
- You track serial numbers, lots or expiration dates.
- You bill time to clients and want invoicing, retainers and proposals to be the center of the product.
- You have outgrown 25 users, need multi-entity consolidation, or need revenue recognition an auditor will accept.
How QuickBooks Online compares
- Xero: $25, $55 or $90 a month, rising to $27, $59 or $97 on October 1, 2026, and Xero states every plan includes unlimited users. Its entry plan caps invoices and bills, and payroll is Gusto-powered. See QuickBooks vs Xero.
- Zoho Books: cheaper at every tier, free under $50,000 of annual revenue, and $3 for an extra user, with a smaller app ecosystem. See Zoho Books vs QuickBooks.
- FreshBooks: built around billing clients for time, with $11 seats and billable-client caps, and no inventory costing. See FreshBooks vs QuickBooks.
- Wave: a genuinely free ledger for simple books, with no inventory, time tracking or audit trail. See Wave vs QuickBooks.
- Sage 50: Windows software with inventory in every tier and serialized tracking from Premium, and no free trial. See QuickBooks vs Sage.
- Digits: an AI-native ledger at $65 or $100 a month with unlimited users and no inventory. See Digits vs QuickBooks.
- Puzzle: cash and accrual books side by side from $30 a month, aimed at startups. See Puzzle vs QuickBooks.
- Oracle NetSuite: the step up when the 25-user ceiling, consolidation or revenue recognition forces it, at quote-only ERP prices. See NetSuite vs QuickBooks.

Frequently Asked Questions
How much does QuickBooks Online cost in 2026?
As of September 2026, list prices are $38 a month for Simple Start, $85 for Essentials, $140 for Plus and $340 for Advanced, after Intuit’s August 1, 2026 increase. The Solopreneur tiers below them are $0 and $20. Intuit runs a promotion of 50% off the first three months, after which the list price applies.
How many users does QuickBooks Online allow?
Simple Start includes one user, Essentials three, Plus five and Advanced 25, and Intuit publishes no per-user add-on. Paid plans also include free accountant seats that do not count against those numbers: two on Simple Start, Essentials and Plus, and three on Advanced.
Can I still buy QuickBooks Desktop instead?
Only Desktop Enterprise. Intuit stopped selling new US subscriptions of Desktop Pro Plus, Premier Plus and Mac Plus after September 30, 2024. Existing subscribers may keep renewing and continue to receive updates and support.
Does QuickBooks Online handle inventory?
Yes, from the Plus plan at $140 a month, using first in, first out or moving average costing, a choice Intuit says cannot be changed later. It does not track serial or lot numbers at any tier; Intuit documents that for Desktop Enterprise only.
Does QuickBooks Online do revenue recognition?
Only on Advanced, at $340 a month. Intuit’s help article describes templates that set the recognition method, frequency and period. On the lower plans, deferred revenue has to be handled with manual journal entries or an add-on app.
