Zoho Books Review: A Free Ledger Under $50K and Cheap Seats Above It
Zoho Books is free under $50K in revenue and $20 to $275 a month above it. What each plan adds, where it falls short, and who should skip it.

Zoho Books is a full double-entry accounting system with six plans, from a free tier for businesses under $50,000 in annual revenue to $275 a month, and it costs less than QuickBooks Online at every comparable tier. This Zoho Books review finds it strongest for small teams on a budget and for businesses already running other Zoho apps. Skip it if your accountant works only in QuickBooks, if you depend on a third-party app that integrates only with QuickBooks or Xero, or if inventory is the heart of the business.
The short version: Zoho Books gives you a working ledger for free under $50,000 of revenue, $20 a month for three users above it, and multi-currency with project profitability at $50. Payroll is a separate Zoho product, and advanced inventory waits for the $150 Elite plan.

What Zoho Books does
Invoicing and getting paid
Every plan, including Free, creates quotes, invoices, sales receipts and recurring invoices, accepts online payments, automates payment reminders and gives customers a self-service portal. Annual invoice limits scale with the plan, from 1,000 on Free to 100,000 on Elite and Ultimate. Professional adds sales orders, retainers, price lists and sales approvals.
Bills, expenses and purchasing
Free covers vendors, expenses and mileage tracking. Standard adds recurring expenses; Professional adds recurring bills, purchase orders and purchase approvals. Premium adds a vendor self-service portal. Zoho sells BillPay as an add-on at $69 a month, or $59 billed annually, which it describes as including 100 ACH vendor payments plus purchase approvals, vendor onboarding, PO matching and batch payments.
Banking and reconciliation
Bank reconciliation is on every plan, as is importing bank and card statements. Automatic bank and card feeds, which Zoho sets up through a third-party provider, start at Standard. On the free plan, transactions come in by statement import rather than a live feed.
Sales tax and 1099s
Tracking 1099 contractors and preparing 1099s is available on every plan. Sales and use tax tracking, the sales tax liability report and e-filing 1099-MISC and 1099-NEC with the IRS start at Standard. Transaction locking, which stops anyone editing a closed period, also starts at Standard.
Projects, time and multi-currency
Billable timesheets, project profitability, multi-currency transactions and base currency adjustments all start at Professional, $50 a month. So do custom user roles and timesheet approvals. This is the tier where Zoho Books changes shape, and it is where most service businesses that bill time end up.
Inventory
Item lists exist on every plan. Stock tracking, reorder points and price lists start at Professional. Advanced inventory control, meaning warehouses, composite items, serial and batch tracking and bin locations, starts at Elite at $150 a month, along with shipping labels, shipment tracking, connections to Etsy, eBay and Amazon and up to two Shopify stores.
Budgets, fixed assets and customization
Premium adds budgeting, fixed asset management, cash flow forecasting, basic revenue recognition, custom modules and custom functions, which let a business write its own automations. Elite moves to advanced revenue recognition and dashboard customization. Ultimate adds advanced analytics, which Zoho describes as more than 50 pre-built visualizations with KPI tracking.
Integrations and mobile
Zapier, Zoho CRM, Zoho Inventory and Zoho Payroll connect on every plan; Zoho Projects connects from Professional. API access starts at Standard. Zoho links iOS and Android apps from its pricing page.

Zoho states the free plan is available indefinitely “as long as your revenue for the financial year does not exceed the threshold of $50K.” That is a revenue test, not a trial. Paid plans carry a 14-day trial, and there is no contract: Zoho describes Books as pay-as-you-go and cancelable at any time. Zoho also advertises free migration help, with a consultation, for businesses moving in.
Add-ons
- Extra users: $3 a month each, or $2.50 billed annually.
- Document autoscans: $10 a month per 50 scans, or $8 annually.
- Locations: $12 a month each, or $10 annually.
- Expense claims: $9 per active user a month, or $7 annually.
- BillPay: $69 a month, or $59 annually.
Zoho says add-ons are not supported on the Free plan, except document autoscans.
Payroll
Zoho Payroll is a separate subscription. Standard is $39 per organization a month, or $29 billed annually, plus $6 per employee, or $5 annually, and covers single-state payroll in all 50 states. Professional is $59, or $49 annually, plus $8.50 per employee, or $7 annually, and covers multi-state payroll. Older write-ups that say Zoho’s US payroll runs only in Texas and California describe a product that no longer exists in that form.
What forces an upgrade
Revenue ends the free plan. After that, capabilities drive the tiers rather than seats: multi-currency, purchase orders or project profitability move you to Professional, budgeting or the vendor portal to Premium, and warehouses or batch tracking to Elite. Seats rarely justify a tier change, because $3 a head is cheaper than any jump between plans.
What a small team pays
A four-person business on Standard pays $20 plus one extra seat at $3, or $23 a month, $17.50 billed annually. A five-person business that bills project time, invoices in two currencies and runs payroll for two employees needs Professional at $50 plus Zoho Payroll Standard at $39 + (2 x $6), which is $101 a month, or $40 + $29 + (2 x $5) = $79 billed annually.
Limitations
A narrower app ecosystem. NerdWallet’s review finds fewer third-party integrations than competitors, with the ecosystem leaning on other Zoho apps. If your point-of-sale system, lender or industry software publishes only one accounting integration, check that it is Zoho’s before committing.
Support draws criticism. NerdWallet reports complaints about long waits, unhelpful email replies and some emails going unanswered. Zoho lists email support on the free plan and email, voice and chat on paid plans.
A steep middle step. Standard to Professional is $20 to $50, and it carries multi-currency, purchase orders, stock tracking and project profitability all at once. A business that needs just one of those still pays for the jump.
Inventory is gated high. Stock tracking begins at Professional, but warehouses, composite items and serial or batch tracking wait for Elite at $150, which is expensive for a small product business.
The free plan is thinner than it looks. It has no automatic bank feeds, no sales tax tracking and no add-ons beyond document autoscans. It works for a service business with simple books; it is not a free version of the paid product.
Payroll is a second subscription. Zoho Payroll is its own product, and the entry tier handles one state per organization.
Seats are metered. Every plan has a user allowance, including Free. At $3 a seat that is cheap, but a shifting group of bookkeepers and advisors costs more here than on Xero, which lists no per-user fees. Zoho publishes a dedicated accountant seat on the Free plan only; on paid plans it lists “invite accountant” but not whether that login counts against the allowance.
Who Zoho Books is for
Zoho Books fits when:
- Revenue is under $50,000 and you want a real ledger for nothing.
- One to fifteen people need access and you would rather pay $3 a seat than change tier.
- You need multi-currency or project profitability and do not want to pay $97 (Xero from October 1, 2026) or $140 (QuickBooks Plus) a month for them.
- You already run Zoho CRM, Zoho Inventory or Zoho One.
Look elsewhere if your accountant or bookkeeper works only in QuickBooks, if your key apps integrate only with QuickBooks or Xero, if stock is the business and $150 a month is too much, or if you want payroll inside the accounting subscription.
How Zoho Books compares
- QuickBooks Online: more expensive at every comparable tier, with free accountant seats, a larger app ecosystem and payroll sold with the ledger. See Zoho Books vs QuickBooks.
- Xero: no per-user license fees and a top plan at $90, rising to $97 on October 1, 2026, but multi-currency and projects cost $97 there from October 1 against $50 here. See Xero vs Zoho Books.
- Wave: a free plan with no revenue test, but no inventory, projects or time tracking.
- FreshBooks: built around billable time, with $11 seats and billable-client caps.
