FreshBooks vs QuickBooks: Which Fits Your Business?

FreshBooks caps billable clients and charges per extra user. QuickBooks Online charges by tier and gates inventory at $140. Which costs less, and when.

FreshBooks suits a business that sells its time: invoicing, estimates, time tracking and project work sit at the center of the product, and every plan is capped by the number of clients you bill. QuickBooks Online suits a business that needs a general ledger first, with inventory, class tracking and payroll bundles available as you grow, and with an accountant who almost certainly already works in it. The FreshBooks vs QuickBooks decision usually turns on three numbers: how many clients you bill, how many people need a login, and whether you hold stock.

The short version: choose FreshBooks if one or two people bill a manageable list of clients for services. Choose QuickBooks Online if you carry inventory, need three or more logins, or want your CPA working in the software they use every day.

Extra team members are $11 a month each on every plan. Payroll is $40 a month plus $6 per person, and Advanced Payments is $20 a month. Annual billing takes 10 percent off. FreshBooks raised these prices after March 5, 2026, so any source still quoting $21, $38 and $65 is out of date. As a promotion in September 2026, FreshBooks lists Lite at $1 a month for a year and 80 percent off three months of Plus and Premium.

What forces an upgrade: passing the client cap, wanting your accountant in the file or wanting bank reconciliation (both start at Plus), and project profitability (Premium). Note that headcount does not move you up a tier, it just adds $11 a month per person.

Intuit raised Essentials, Plus and Advanced on August 1, 2026, leaving Free, Lite and Simple Start alone, and recent subscribers kept their old rate for six months. Intuit’s own notice does not print the dollar figures. NerdWallet’s price history records Plus going from $115 to $140 and Advanced from $275 to $340; a second account of the same change gives lower starting figures because it skips a separate increase in July 2025. Either way the current list prices are the ones in the table. QuickBooks runs a standing promotion of 50 percent off for three months.

What forces an upgrade: user count above all, then inventory or project profitability at Plus, and multi-currency at Essentials. Multi-currency is worth deciding early, because Intuit warns it cannot be turned off once it is on.

Real cost for a small team

Take a three-person agency: an owner and two staff who each need a login, roughly 20 active clients, and an outside accountant who reviews the books.

  • FreshBooks: Plus at $43 covers 50 clients, bank reconciliation and accountant access. Two extra team members cost $11 each, so $43 + $22 = $65 a month, $780 a year.
  • QuickBooks Online: Essentials at $85 covers three users and multi-currency, but not inventory or project profitability. That is $85 a month, $1,020 a year. If the agency wants profitability by project, it needs Plus: $140 a month, or $1,680 a year.

So FreshBooks saves $240 a year on like-for-like bookkeeping, and $900 a year if project profitability is the deciding feature.

Now grow the same firm past 50 clients. FreshBooks moves to Premium: $70 + $22 = $92 a month, or $1,104 a year, which is now more than QuickBooks Essentials. The crossover is real, and it arrives on client count rather than revenue.

Where FreshBooks is stronger

  • Cost at the small end. Lite is $23 against Simple Start at $38, and Plus is $43 against Essentials at $85. A solo consultant with five clients pays roughly half.
  • Billing service work. Estimates, proposals and retainers arrive at Plus, and time tracking is in the product rather than bolted to payroll. Project profitability costs $70 at Premium; the same idea costs $140 at QuickBooks Plus.
  • Currency without a tier jump. FreshBooks sets currency per client, and once a client is set up in a currency it stays the default. QuickBooks makes you reach Essentials, and the setting is permanent.
  • A lower ceiling. The most expensive published FreshBooks plan is $70. If your worry is where the bill lands in three years, that matters.
  • Trying it. Thirty days, no contract and no credit card, with a 30-day money-back guarantee after you buy.

Where QuickBooks Online is stronger

  • Real inventory. FreshBooks holds a stock number against an item. QuickBooks Online values inventory first in, first out, and moves cost into cost of goods sold as items are sold, which is what a tax return and a gross-margin figure actually need. That capability starts at Plus.
  • People included in the price. Essentials includes three users and Plus five, where FreshBooks charges $11 for each one. At six people, FreshBooks Premium is $70 plus $55 in seats.
  • Accountant seats. Paid QuickBooks plans include two free accountant seats, three on Advanced, and they do not eat into your user count. FreshBooks does not let an accountant in at all until Plus.
  • Structure for a bigger business. Plus brings 40 classes and locations plus budgeting; Advanced brings unlimited classes, batch processing, custom workflows and Excel sync. FreshBooks has no equivalent tier.
  • Familiarity. Nearly every US bookkeeper and CPA works in QuickBooks daily. That shows up as cheaper cleanup, faster onboarding and a larger pool of people who can cover for yours.

Which one should you choose?

Choose FreshBooks if:

  • You bill clients for time or fixed-fee services and stock is not part of the business.
  • One or two people need access, and your client list is comfortably under 50.
  • Estimates, proposals, retainers and per-project margin are the reports you look at.
  • You want a predictable bill with a low top end.

Choose QuickBooks Online if:

  • You buy and sell physical goods and need cost of goods sold to come out right.
  • Three or more people need logins, or you want free seats for your accountant.
  • You expect to need classes, locations, budgets or a payroll bundle inside the same subscription.
  • Your accountant has said they work in QuickBooks, and switching them is not free.

Neither is the right answer for everyone. If cost is the binding constraint, Wave has a genuinely free Starter plan with unlimited invoices, though bank feeds and receipt scanning sit behind its $19 Pro plan. If you need deeper inventory or multi-entity work without QuickBooks pricing, Zoho Books has a free tier under $50,000 of annual revenue and paid plans from $20. Our accounting software guide and the other head-to-head comparisons cover the rest.

Switching between them

Moving to FreshBooks, the vendor offers Easy Switch, where its specialists move expenses, invoices and client details across from an old platform, and QuickBooks is one of the platforms named. It is not free for most people: FreshBooks says Easy Switch costs nothing on some Select plans and comes at a discounted cost on Plus, Premium and the other Select plans. Outside that service, FreshBooks accepts CSV imports of clients, vendors, items and bank-reconciliation transactions.

Moving to QuickBooks is a list import. Intuit’s instructions are to export from the old system to Excel or CSV and load the chart of accounts first, because products and services have to map to accounts that already exist or the import fails. If you bring inventory across, Intuit locks it as of the migration date, so history before that date cannot be changed afterwards.

Two practical points. First, neither vendor promises that reconciled bank history, payroll records or document attachments come across, so keep read-only access to the old system through at least one tax filing. Second, move at the start of a fiscal year if you can, or a quarter boundary if you cannot, so that one system holds one complete period rather than both holding half of one.

Frequently Asked Questions

Is FreshBooks cheaper than QuickBooks?

At the small end, yes. Lite is $23 a month against Simple Start at $38, and Plus is $43 against Essentials at $85. The gap narrows as you add people, because FreshBooks charges $11 a month for each extra team member while QuickBooks includes three users on Essentials and five on Plus.

Does FreshBooks handle inventory?

Only in a limited way. You can turn on stock tracking for an item and record how many you have. QuickBooks Online, from the Plus plan at $140 a month, values inventory first in, first out and posts cost of goods sold when items are sold. Product sellers should treat that as the dividing line.

Can my accountant work in FreshBooks?

From the Plus plan at $43 a month, yes; the Lite plan has no accountant access. QuickBooks includes two free accountant seats on every paid plan and three on Advanced, and those seats do not count against your user allowance.

Why did QuickBooks get more expensive in 2026?

Intuit raised list prices for Essentials, Plus and Advanced on August 1, 2026, leaving Free, Lite and Simple Start unchanged, and let recent subscribers keep their old rate for six months. Current list prices are $85, $140 and $340 a month.

Which one is better for a freelancer?

For a freelancer billing a handful of clients for time, FreshBooks Lite at $23 covers invoicing, expenses and estimates. If you would rather stay inside the Intuit ecosystem, QuickBooks Solopreneur has a $0 tier capped at two invoices a month and a $20 Lite tier without that cap, but neither gives your accountant access.
