QuickBooks Online vs Desktop: What's Still Available in 2026
Intuit stopped selling Desktop Pro, Premier and Mac to new US buyers in 2024. What is left, what it costs, and who should still choose it.

For a new buyer in the United States, QuickBooks Online vs Desktop is no longer a choice between two full product lines. Intuit stopped selling QuickBooks Desktop Pro Plus, Premier Plus and Mac Plus to new US subscribers after September 30, 2024. The only Desktop product still sold to new customers is QuickBooks Desktop Enterprise, which runs on Windows and starts at $2,210 a year for the Gold edition. So the live comparison is QuickBooks Online against Desktop Enterprise, and for most small businesses Online costs far less and reaches further.
Existing Pro Plus, Premier Plus and Mac Plus subscribers are in a different position. Intuit says they may keep renewing, and continues to ship security updates, product updates and support. Nobody is being switched off next month. But you are paying for a product Intuit no longer sells to anyone new, which is a reason to plan a move rather than make one in a panic.
The short version: choose Desktop Enterprise if you need deep inventory, contractor job costing or an industry-specific edition and your team works on Windows in one place. Otherwise choose QuickBooks Online. If you are on Pro Plus, Premier Plus or Mac Plus today, you can stay for now, and you should decide where you are going before your next renewal.
What Intuit still sells, and to whom
Intuit’s own help article is explicit: “Intuit made a decision that after September 30, 2024, to stop selling new subscriptions of the following products: QuickBooks Desktop Pro Plus, QuickBooks Desktop Premier Plus, QuickBooks Desktop Mac Plus, QuickBooks Desktop Enhanced Payroll.” The change applies to the United States, existing subscribers of those products may keep renewing, and Enterprise remained available to new subscribers.
| Product | Can a new US customer buy it? |
|---|---|
| QuickBooks Online (all plans) | Yes |
| QuickBooks Desktop Enterprise | Yes |
| QuickBooks Desktop Pro Plus | No, new sales stopped 2024-09-30 |
| QuickBooks Desktop Premier Plus | No, new sales stopped 2024-09-30 |
| QuickBooks Desktop Mac Plus | No, new sales stopped 2024-09-30 |
Separately, Intuit retires each Desktop year-version on a fixed schedule. Its discontinuation policy page states: “After May 31, 2026, QuickBooks Desktop 2023 software will be discontinued.” That covers Pro Plus 2023, Premier Plus 2023 in all editions, Mac Plus 2023, Enterprise Solutions 23.0 and the 2023 Accountant editions. Payroll tax calculation and forms, card and check processing, online banking downloads, accountant copy transfers, multi-currency and email stop working after that date, and the version stops receiving security updates. The software still opens your file; the services around it do not.
A Desktop subscription is not a one-time purchase that ages gracefully. It runs on a rolling three-year support clock.
QuickBooks Online vs Desktop Enterprise at a glance
All prices are list prices as of September 2026.
| Feature | QuickBooks Online | QuickBooks Desktop Enterprise |
|---|---|---|
| Best for | Small businesses wanting access from anywhere and an outside accountant in the file | Windows businesses with heavy inventory, job costing or industry-specific needs |
| Entry price | $38/mo (Simple Start) | $2,210/yr (Gold, as published by Intuit) |
| Top plan | $340/mo (Advanced) | $5,363/yr (Diamond) |
| Users | 1 to 25 depending on plan | 1 to 30 on Gold and Platinum; up to 40 on Diamond |
| Payroll | Add-on, sold bundled with accounting | Enhanced Payroll on Gold and Platinum, up to $3/employee/mo; Assisted Payroll on Diamond, $2.50/employee per pay period |
| Inventory | Plus and above | All editions; Advanced Inventory from Platinum |
| Projects and time | Project profitability from Plus; time tracking on invoices from Essentials | Job costing for contractors; QuickBooks Time Elite included with Diamond at $5/employee/mo |
| Platform | Browser and mobile app | Windows 10 or 11, 64-bit; cloud hosting costs extra |
| Trial | 30-day free trial | Free product tour; 60-day money-back guarantee on annual plans |
Multi-currency is missing from that table on purpose. Intuit documents it for QuickBooks Online, where Multicurrency is available on Essentials, Plus and Advanced and cannot be switched off once on, but does not state it on the Enterprise pricing page, so there is no claim to make for both sides.
Pricing
QuickBooks Online
| Plan | List price per month | Users | Free accountant seats |
|---|---|---|---|
| Simple Start | $38 | 1 | 2 |
| Essentials | $85 | 3 | 2 |
| Plus | $140 | 5 | 2 |
| Advanced | $340 | 25 | 3 |
Prices rose on August 1, 2026 for Essentials, Plus and Advanced. Intuit is promoting 50% off for the first three months; that is an introductory promotion, and the table is the ongoing rate. What forces you up a tier is usually the user count, or inventory and project profitability, both of which start at Plus.
Desktop Enterprise
| Edition | Annual price | Adds |
|---|---|---|
| Silver | $1,873, reported by NerdWallet; Intuit names Silver in its terms but does not print a price | Base Enterprise |
| Gold | $2,210 | Enhanced Payroll |
| Platinum | $2,717 | Advanced Inventory, Advanced Pricing, bill and purchase order approvals |
| Diamond | $5,363 | Assisted Payroll, QuickBooks Time Elite, up to 40 users, monthly billing only |
Read those figures carefully. Intuit shows them beside a user selector offering 1 to 10 or up to 30 users, and NerdWallet, which matches Intuit exactly on Gold and Platinum, states that “The QuickBooks Enterprise pricing below is for one user. Additional users will add to the price,” and that adding one user to Silver costs more than $1,000 extra. Intuit publishes no per-user rate, so an Enterprise quote for a real team has to come from Intuit. Cloud hosting for remote access is a further monthly fee.
Real cost for a five-person team
Take five people in the file and three employees on payroll.
On QuickBooks Online, the published route is the Workforce Premium payroll bundle with Plus, at $203 a month plus $10 per employee. That is $203 + (3 x $10) = $233 a month, or $2,796 a year, with five users, inventory and project profitability included.
On Desktop Enterprise Gold, the published price is $2,210 a year for one user, and Enhanced Payroll adds up to $3 per employee per month, so 3 x $3 x 12 = $108. That is $2,318 a year before the other four users, before cloud hosting if anyone works remotely, and before the server the file sits on.
The headline numbers look close. Add the four users and hosting and Enterprise is the more expensive of the two at this size, so it earns its place only if you need what it does that Online cannot.
Where Desktop Enterprise is stronger
- Inventory. Advanced Inventory, in Platinum and Diamond, adds three levels of location tracking (row, shelf and bin, or section, area and pallet), serial and lot number tracking, barcode scanning, multiple inventory sites, and end-to-end pick, pack and ship. QuickBooks Online’s inventory does not go to that depth, and businesses that need it bolt on a third-party app.
- Industry editions. Intuit sells Enterprise in versions for Construction and Contractors, Manufacturing, Wholesale and Distribution, Nonprofit, Retail, Accountants and Professional Services, so the chart of accounts, forms and reports arrive shaped for the industry.
- Job costing. Enterprise markets job costing as a contractor capability. QuickBooks Online has project profitability from Plus, a lighter tool aimed at service work rather than at multi-phase construction jobs.
- Your data sits on your own machine. The company file lives on your computer or server, not in Intuit’s cloud. That matters if you have a policy about where financial data rests, or genuinely poor internet. It also makes backups, file maintenance and version upgrades your job.
- User bands. Gold and Platinum reach 30 simultaneous users and Diamond reaches 40, above QuickBooks Online Advanced at 25.
Where QuickBooks Online is stronger
- Cost at small scale. Simple Start is $38 a month. There is no Desktop equivalent at that price any more, because the products that occupied that space are the ones Intuit stopped selling.
- Access and operating system. Online runs in a browser and on mobile. Intuit’s Enterprise technical specifications require Windows 10 or 11, 64-bit, with Windows Server for multi-user setups; macOS is not listed and Linux is explicitly unsupported. Since Mac Plus can no longer be bought new, a Mac business that wants QuickBooks is being pointed at Online.
- Your accountant gets in free. Online includes two free accountant seats on Simple Start, Essentials and Plus, and three on Advanced. Intuit publishes no free accountant seat for Enterprise, where seats count against the license you bought.
- It is the product Intuit is building. New tiers, the AI features and the price changes land on Online first, and Intuit is openly steering Desktop customers toward Intuit Enterprise Suite.
- No hosting bill for remote work. Getting Enterprise to a remote team means paying for cloud hosting on top of the subscription.
Which one should you choose?
Choose QuickBooks Online if your team is under 25 people, anyone works remotely or on a Mac, your accountant wants to be in the file, or you would rather not run a server. That covers most small businesses.
Choose Desktop Enterprise if you track serial or lot numbers, run warehouses or bin locations, need barcode scanning and pick-pack-ship, want an industry edition rather than a blank chart of accounts, or run construction job costing that Online’s projects cannot hold. Get a quote for your real user count first, because the published price is a one-user figure.
Neither may fit. If Enterprise appeals only for inventory depth, price it against NetSuite and Acumatica, which handle multi-warehouse inventory natively at higher cost and with an implementation project attached. If the appeal of Desktop was that it was cheap and yours, price Xero and Zoho Books. Our software hub has the wider field, and other comparisons sit alongside this one.
If you are still on Pro Plus, Premier Plus or Mac Plus
You have four realistic options.
- Stay. Intuit says existing subscribers may keep renewing and continues to support them. The cost is that each year-version drops off support three years after release, taking payroll, bank feeds and payments with it, so staying means taking the upgrades as they come.
- Move to QuickBooks Online. The usual choice, and the one Intuit’s migration tool is built for. The next section covers what crosses over.
- Move up to Enterprise. This keeps the desktop working style and the file structure. It is a large price step, and worth taking only if you want what Enterprise adds rather than to avoid learning a new interface.
- Leave Intuit. Being on a closed product line is a reasonable moment to price the alternatives rather than renew out of habit.
Ask your accountant before deciding. Practices differ in what they will support, and a firm that does your bookkeeping in Desktop has a view worth hearing.
Switching from Desktop to Online
Intuit provides a migration tool, and these are its published terms.
- Your company file must be version 2011 or later. Older files need QuickBooks File Doctor run first.
- Intuit’s instruction is to “Confirm your Total Targets count is below 4,000,000.” Targets are the line-level entries in your file, not the transaction count, and a file over the limit has to be condensed before it will move.
- You get a window to bring your data in after signing up: “If you signed up for yourself: 90 calendar days” and “If your accountant signed up for you: 180 calendar days.”
- If the QuickBooks Online company already holds data, you are prompted to replace it, and Intuit warns: “You can no longer undo the action when you choose to replace your data in QuickBooks Online.”
Plenty transfers. Attachments 30MB and smaller, inventory with both FIFO and average cost recalculated, current-year payroll data as lump sums with active and inactive employees, memorized transactions as recurring transactions, and the reconciled and cleared status on register entries all come across.
Several things do not, and these are the ones that cause the mess:
- Custom form templates and styles do not transfer.
- Timesheet data and pay item mappings do not transfer.
- Price levels, leads, job types, vendor types and sales rep records do not exist in QuickBooks Online, and prior mileage has to be re-entered by hand.
- Bank connections must be set up again; banking rules do move, but uncategorized bank feed data from direct connections does not.
- Memorized and audit trail reports do not transfer, and cash basis reports may not match between the two systems.
- Sales tax payments made in Desktop can apply to the wrong filings in Online and need deleting and re-entering.
- Open purchase orders arrive without their received items and have to be relinked to bills.
- Existing Desktop users do not carry over; they have to be invited into QuickBooks Online.
The consequence is timing. Migrate at the start of a fiscal year if you can, or at a quarter end after sales tax has been filed, so the sales tax and reporting differences land in a period you have already closed. Run both systems in parallel for a month and reconcile before you stop entering in Desktop.
Frequently Asked Questions
Can I still buy QuickBooks Desktop Pro or Premier in 2026?
No, not as a new US subscription. Intuit stopped selling new subscriptions of Desktop Pro Plus, Premier Plus and Mac Plus after September 30, 2024. If you already subscribe to one of them you can keep renewing it, and Intuit continues to provide updates and support.
Is QuickBooks Desktop being discontinued entirely?
Intuit has not announced an end to the whole Desktop line, and Enterprise is still sold to new customers. What does end, on a published schedule, is support for each year-version: QuickBooks Desktop 2023 was discontinued after May 31, 2026, which stopped payroll, bank feeds, payments and security updates for that version.
Is QuickBooks Online cheaper than Desktop Enterprise?
For a small team, yes. QuickBooks Online Plus with the Workforce Premium payroll bundle and three employees works out at $2,796 a year, list price, for five users. Enterprise Gold is $2,210 a year as published, but that figure covers one user, and extra users, cloud hosting and payroll per-employee fees are added on top.
Does QuickBooks Desktop Enterprise run on a Mac?
Intuit’s Enterprise technical specifications list Windows 10 or Windows 11, 64-bit, for the client, and Windows Server for multi-user installations. macOS is not listed and Linux is explicitly unsupported. QuickBooks Desktop Mac Plus, the Mac product, is no longer sold to new subscribers.
