Xero Alternatives in 2026: Six Options and the Reason to Pick Each

Xero's Early plan allows 20 invoices and 5 bills a month, and projects wait for a tier rising to $97 on October 1. Six alternatives and when to pick each.

Pick the Xero alternative that matches your reason for leaving. If the Early plan’s caps are the problem, Zoho Books gives you 5,000 invoices a year for $20 a month and Wave gives you unlimited invoices for nothing. If it is the Established tier, $90 a month and $97 from October 1, 2026, Zoho Books Professional carries multi-currency, timesheet billing and project profitability at $50. If it is payroll, QuickBooks Online writes its own and sells it on the same bill, where Xero resells Gusto, and it puts inventory and project costing in the same subscription. The six sections below give the price and the catch for each option.

The short version: Zoho Books if the bill is the problem, QuickBooks Online if payroll and inventory are, FreshBooks if you sell hours, Wave if the budget is zero, and Puzzle or Digits if you would rather the bookkeeping happened without you.

Why businesses leave Xero

Early is capped tightly. The $25 plan, $27 from October 1, allows 20 invoices and 5 bills a month, and the invoice count includes quotes. Five bills is a landlord, a phone company, one software subscription and two suppliers, so the plan that compares with rival entry tiers is Growing, $59 from October 1.

The features people want are on the top plan. Multi-currency, employee expense and mileage claims, and project time and cost tracking all arrive on Established, $97 from October 1. Reviewers at business.com also find Xero’s invoice customization less intuitive than FreshBooks’ and its accounts-payable tooling weak next to dedicated AP software, and note that businesses needing billable-hours tracking often add a second tool.

US payroll is Gusto. Xero does not write its own US payroll. It resells Gusto, white-labeled behind a single Xero login, at $36 a month plus $6 per employee or contractor, posting to the ledger and filing W-2s and 1099s. It is integrated, and it is still a second company inside the product. It is also not available to Xero’s US mobile subscribers.

Full inventory is an add-on. Basic inventory is included, and Inventory Plus is $39 a month on top of the plan.

The introductory price ends. New US customers buying by September 30, 2026 get 90% off for six months, which on September’s list prices is $2.50, $5.50 or $9.00 a month. After that the plan bills at list price, and Xero’s list prices rise on October 1, 2026, for new and existing US subscribers, to $27, $59 or $97, with the multi-organization discount beginning to be phased out from the same date. Xero publishes no trial length on its US pricing page or its offer terms, which say only that you can opt for a free period on the terms specified at signup.

On accountant familiarity, both sides claim more than they show: Intuit runs a ProAdvisor directory and Xero a certified-advisor directory, and neither publishes a count. The test is local. Ask the firm you use which system it works in daily, and what it would charge to work in the other.

QuickBooks Online: payroll and inventory in one subscription

QuickBooks Online lists at $38 for Simple Start, $85 for Essentials with three users, $140 for Plus with five and $340 for Advanced with 25, after Intuit’s increase on August 1, 2026. Paid plans include two free accountant seats, three on Advanced.

What it gives a Xero leaver: payroll from the same company on the same bill, from $88 a month bundled with Simple Start plus $6.50 per employee; inventory with first in, first out costing and project profitability together on Plus at $140, where Xero wants $97 from October 1 plus a $39 add-on for the pair; multi-currency from Essentials at $85, though Intuit warns it cannot be switched off once enabled; and revenue recognition schedules with one-time, percentage and milestone methods on Advanced at $340.

Why not: seats are metered where Xero’s are not, and the ceiling is about three and a half times Xero’s October price. A five-person service business with two W-2 employees pays $125 for Workforce Payroll with Essentials plus $6.50 each, or $138 a month, against $59 for Xero Growing from October 1 plus $36 and $6 a head, which is $107. QuickBooks vs Xero works through where that gap widens and where it closes.

Zoho Books: the same capabilities, two tiers lower

Zoho Books runs $0, $20, $50, $70, $150 and $275 a month across six plans. The free plan holds while revenue for the financial year stays under $50,000 and includes one user plus an accountant seat, with 1,000 invoices and 1,000 bills a year, against the 240 a year Early allows for $27 a month from October 1. Extra users are $3 a month, or $2.50 billed annually.

The plan to price is Professional at $50: five users, multi-currency, sales and purchase orders, timesheet billing and project profitability. Those are the capabilities Xero reserves for Established, $97 from October 1. Take a five-user business with two employees on payroll that needs currencies and project time: Zoho Professional at $50 plus Zoho Payroll Standard at $39 and $6 an employee is $101 a month, against Xero Established at $97 plus Gusto at $36 and $6 a head, which is $145. Our Zoho Books pricing guide covers the upgrade triggers.

Why not: seats are metered on every tier, including the free one, so a shifting cast of bookkeepers and advisors favors Xero. NerdWallet’s review finds fewer third-party integrations, an ecosystem that leans on other Zoho apps, and consistent criticism of customer service. Warehouses, composite items and serial or batch tracking wait for Elite at $150, where Xero reaches full inventory at $59 plus $39. Xero vs Zoho Books has the full comparison.

FreshBooks: for firms that sell hours

FreshBooks lists at $23 for Lite, $43 for Plus and $70 for Premium after its March 2026 increase, with a quote-only Select tier above. Time tracking is in every plan, proposals and retainers arrive at Plus, and project profitability costs $70 on Premium against $97 from October 1 for Xero’s project time and cost tracking.

Why not: every plan includes one user and each extra team member is $11 a month, so headcount raises the bill without changing tier, and Xero charges nothing for users at all. Billable clients are capped at five on Lite and 50 on Plus, counting archived clients against the limit. Lite has no bank reconciliation and no accountant access. Xero vs FreshBooks sets the caps against each other, and our FreshBooks alternatives page covers the ground from the other side.

Wave: free, with the gaps stated plainly

Wave has a $0 Starter plan with unlimited invoices, estimates, bills and bookkeeping records, and a Pro plan at $19 a month, or $190 a year, which adds automatic bank-transaction import, auto-categorization, branding removal, late-payment reminders, discounted processing and live human support. Card processing is 2.9% plus $0.60 on Starter. Payroll is built in at $40 a month plus $6 per employee and $6 per contractor paid, with the tax service now available in all 50 states. For a business leaving over the Early caps, the arithmetic is stark: unlimited invoices at $0 against 20 a month at $27 from October 1.

What you give up is real. Wave has no time tracking, no project costing, no inventory and no audit trails, which makes cleanup by an outside accountant harder. Bank feeds and receipt scanning are no longer free, and receipt scanning is a further $11 a month on Starter or $8 on Pro. Free users get an AI chatbot rather than a person. Wave vs QuickBooks sets out where a free ledger stops being enough.

Puzzle: cash and accrual books from $30

Puzzle is an AI-native general ledger aimed at startups. Starter is $30 a month with one seat, Core $72 with five seats and multi-entity support, Complete $120 with unlimited seats, revenue recognition and classes, departments and projects, and Scale $360. Annual billing saves 20% on Core, Complete and Scale. The distinguishing feature sits on the entry plan: Puzzle maintains cash and accrual books at the same time rather than converting between them, and it claims up to 98% auto-categorization.

Why not, and these are the specifics to check before switching: transaction and integration limits exist on every plan below Scale, and Puzzle does not publish the numbers. Migration is a $149 one-time item on the pricing page. There is no inventory, and payroll runs through Gusto, Rippling or Deel. Puzzle says it is SOC 2 compliant without stating the type. One more piece of context: Accrual announced on September 2, 2026 that it is acquiring Puzzle’s accounting-firm technology and business, and said the platform serving startups and small businesses directly would continue to operate independently. Puzzle vs QuickBooks covers the ledger comparison.

Digits: unlimited users, and a manual path in

Digits is an AI-native ledger at $65 a month for Essentials and $100 for Core, with a $250 Pro plan listed as coming soon, so the buyable range is $65 to $100. Users are unlimited and included, covering staff, advisors and auditors. Invoicing and bill pay are in every plan, there is a 30-day trial and no free plan, and each entity needs its own subscription. Digits is SOC 2 Type II compliant and connects to banks and cards through Plaid.

The Xero-specific warning matters more than the price. Digits documents a direct sync from QuickBooks Online, but not from Xero: from Xero the route is manual, importing the chart of accounts by CSV, connecting accounts and entering opening balances as a journal entry, and bank history pulled through Plaid is capped at two years.

Why not, beyond migration: there is no inventory, payroll is an integration rather than a module, dimensional reporting covers departments and locations with projects listed as coming soon, and the automated schedules launched in May 2026 cover fixed assets and prepaid expenses, with revenue recognition and accrued expenses described by the company as coming soon. Digits vs QuickBooks has the rest.

When to stay with Xero

The case for staying is mostly one line: Xero states that every plan includes unlimited users at no extra cost, so the bill does not move when the team does. QuickBooks meters users at one, three, five and 25; Zoho Books charges $3 a seat; FreshBooks charges $11. Digits and Puzzle include unlimited seats too, at $65 and $120 respectively, but neither carries inventory. Among conventional small-business ledgers, Xero is alone in not charging for the fourth person who needs to log in.

Two more. Full inventory through Inventory Plus costs $59 plus $39, or $98 a month from October 1, which undercuts Zoho’s Elite tier at $150 for warehouses and batch tracking. And Hubdoc document capture is included from Early upward, with automated bill entry at Growing, where several of the alternatives sell receipt capture separately. Xero also runs a public directory of certified advisors and an app store with a category for data conversions, which is a practical advantage when you need to hire rather than learn.

How to choose

  • Leaving over the Early caps: Zoho Books Standard at $20 for 5,000 invoices a year, or Wave’s free plan for unlimited invoices.
  • Leaving because projects, expenses and multi-currency cost $97 from October 1: Zoho Books Professional at $50 has all three.
  • Leaving because you want payroll from the same company: QuickBooks Online, bundled from $88 a month plus $6.50 per employee.
  • Leaving because you bill by the hour: FreshBooks, with time tracking on every plan and project profitability at $70.
  • Leaving because the budget is zero: Wave, on the understanding that time, projects and inventory are not there at any price.
  • Leaving because you want the bookkeeping done for you: Puzzle from $30 for accrual books, or Digits from $65 for unlimited users, checking the manual migration path first.
  • Leaving over inventory depth: QuickBooks Online Plus at $140, for first in, first out costing in the same subscription.

Frequently Asked Questions

What is the cheapest alternative to Xero?

Wave, at $0 for unlimited invoices, estimates, bills and bookkeeping records, paid for through card processing at 2.9% plus $0.60 a transaction. Zoho Books is also free while revenue for the financial year stays under $50,000, and $20 a month after that for three users and 5,000 invoices a year, against Xero Early at $27 from October 1 for 20 invoices a month.

Does any Xero alternative include unlimited users?

Digits includes unlimited users on both of its plans, and Puzzle includes them from its $120 Complete tier. QuickBooks Online meters users at one, three, five and 25 by plan, with two or three free accountant seats on top. Zoho Books charges $3 a month per extra seat and FreshBooks charges $11.

Is Sage an alternative to Xero in the US?

Not on a like-for-like basis. Sage retired Sage Business Cloud Accounting in the US on December 31, 2024, with support and access ending January 31, 2025, so the remaining US small-business product is Sage 50. Sage 50 Cloud lists at $128.67 a month for one user, $182.50 for up to five and $271.17 for up to 40, with a desktop line at roughly half those prices, no free trial and no dedicated US mobile app.

Can I move my data out of Xero?

Partly. Intuit has partnered with Dataswitcher to convert up to two fiscal years free, with more for a fee, and publishes a long exclusion list: bank reconciliation history, attachments, payroll data, fixed assets, budgets, memorized transactions and project details among others. Classes and inventory need Plus or Advanced at the receiving end, and Digits documents a CSV and opening-balance route rather than a sync. Because reconciliation history and payroll do not travel, the cleanest moment to move is the first day of a fiscal year.
